Planning an airport-to-hotel transfer
Planning an airport-to-hotel transfer
A listed shuttle does not guarantee continuous service or pickup at your terminal. Plan arrival and return separately: your flight home may leave before the first service.
In brief
Planning an airport-to-hotel transfer
Confirm airport, terminal, meeting point, booking requirement, whole-party price and delay procedure. Keep a backup if the shuttle or last train does not fit your flight.
1. Identify both ends
Record airport code, terminal and the reception’s exact address. A city may have several airports. Ask for a meeting point after arrivals and a reachable local contact.
2. Compare three options
A shared shuttle may wait for others and stop at several hotels. A private transfer should specify vehicle, seats and group price. For public transport, include connections, tickets and the final walk. Compare the full cost and time to reception.
3. Plan for delays and luggage
Provide flight number, luggage sizes, children and accessibility needs. Confirm suitable seats and vehicle capacity. Ask whether the flight is monitored, how long the driver waits and whom to call after a delay or terminal change.
4. Arrange the return
Book the return separately if required. Work backwards from the airline’s required terminal arrival time, adding travel and a suitable margin. Check the first departure and retain the operator’s contact and a backup option.

Frequently asked questions
Useful answers before booking
Is a hotel shuttle always free?
No. Check whether your rate includes it, whether charges apply per person or vehicle, and whether booking is required.
Does the quoted journey include waiting?
Not necessarily. Separate waiting, travel, connections and walking. Ask when the quoted duration starts.
Can I book only one direction?
It depends on the operator. For a return booking, confirm pickup times, places and references for both journeys.
